Regal Private Therapy Practice

1. Scope of Services

Regal Private Therapy Practice ("Regal", "we", "us") provides psychological therapy, assessments, and related clinical services to adults, adolescents, and children.

Our services are not intended for emergency or crisis situations. If you require urgent support, please contact emergency services or appropriate crisis support — see Section 10 for details.

While all services are delivered in line with professional standards, outcomes cannot be guaranteed.

2. Our Privacy Policy

Your personal data is processed in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Full details of how we collect, store, use, and protect your personal data — including your rights — are set out in the Regal Private Therapy Practice Privacy Policy, which forms part of your agreement with us and is available on our website.

By engaging our services, you confirm you have read and understood the Privacy Policy.

3. Consent

Regal is a private clinic dedicated to delivering high-quality, individualised care. By requesting services with us, you consent to being assessed and, if appropriate, treated by our clinical team. You agree to the use of digital transcribing and artificial intelligence tools to accurately capture the details of your assessment and ongoing treatment, and to provide you with an operational, efficient service.

You acknowledge that following our clinical assessment, we reserve the right to change, amend, cancel or not provide the service for which you have initially booked.

Before treatment begins, you will be asked to confirm your preferences and consent in relation to the following via a separate consent form provided at registration.

3.1 Next of Kin Contact

You will be asked whether you consent to Regal contacting your next of kin in the event of an emergency. If you decline, please be aware that this may limit our ability to obtain appropriate support on your behalf in an emergency. In certain circumstances, confidentiality may still need to be breached to protect your safety — see Section 7.

3.2 GP and Other Healthcare Professionals

You will be asked whether you consent to Regal sharing relevant clinical information with your GP or other healthcare professionals involved in your care. If you decline, please be aware that this may limit your therapist's ability to coordinate your care with other professionals. In certain circumstances, information may still need to be shared to protect your safety — see Section 7.

3.3 Communications

You will be asked to confirm your preferred method of contact and to opt in to receiving communications from us for administrative purposes, including appointment scheduling, invoices, and clinical materials.

3.4 Therapeutic Executor

A trusted colleague of your therapist has been appointed as a therapeutic executor. In the event that your therapist passes away or becomes incapacitated, this person will contact you to inform you and help arrange appropriate follow-on care, either with them or with another suitable clinician. They will only access your data in this circumstance and for this purpose. You will be asked to acknowledge this arrangement as part of your registration.

3.5 Children and Young People

Where services are being provided to a person under the age of 18, consent must be provided by a parent or legal guardian as part of the registration process. See Section 12 for further details.

4. Fees and Payment

4.1 General

Fees for services will be communicated to you prior to the commencement of treatment. By engaging our services, you agree to pay the applicable fees.

Additional services — including but not limited to reports, letters, or extended sessions — may incur additional charges, which will be communicated in advance.

Fees may be subject to periodic review. You will be given reasonable written notice of at least 30 days prior to any fee increase taking effect.

4.2 Self-Funding

Payment must be made within 7 days of invoice unless otherwise agreed in writing.

Regal reserves the right to suspend or terminate services where payment remains outstanding.

4.3 Health Insurance

Where services are funded through private health insurance, it is your responsibility to:

  • Confirm your level of cover with your insurer prior to commencing treatment

  • Provide all required policy details and authorisation codes before your first session

You remain responsible for all fees not covered by your insurer, including excesses, shortfalls, or fees arising from expired or insufficient authorisations. Insurers do not typically cover late cancellation or non-attendance charges — these remain your responsibility in all cases.

The contractual agreement for services is between you (or your guarantor) and Regal, not your insurer.

4.4 Late or Non-Payment

Where payment is not received within the stated timeframe, Regal reserves the right to:

  • Suspend ongoing treatment

  • Charge reasonable interest or administrative fees where appropriate

  • Pursue recovery of outstanding balances through appropriate means

5. Cancellations and Non-Attendance

A minimum of 48 hours' notice is required to cancel or reschedule an appointment.

Appointments cancelled with less than 48 hours' notice will be charged in full. This applies to all clients regardless of funding method, including those funded by health insurance — late cancellation and non-attendance charges are not typically reimbursed by insurers and remain your personal responsibility.

Failure to attend an appointment without notice will be treated as a non-attendance and charged in full.

If you arrive late, the session will end at the originally scheduled time. If you have not arrived within 15 minutes of the scheduled start time and have not made contact, the session may be treated as a non-attendance and charged in full.

6. Refunds

Fees for completed sessions or assessments are non-refundable.

Where an appointment is cancelled in accordance with the cancellation policy in Section 5, no charge will apply.

Refunds for pre-paid services or packages, if applicable, will be considered on a case-by-case basis at Regal's discretion.

Nothing in this section affects your statutory rights under the Consumer Rights Act 2015.

7. Confidentiality and Safeguarding

All information shared in the course of therapy is treated as confidential and handled in accordance with applicable data protection law and professional standards.

There are limited circumstances in which we may be required to share information without your consent. These include:

  • Your safety — if you have become incapacitated and are unable to consent, or if you have given us reason to believe you intend to take your life or seriously injure yourself

  • Public interest — including disclosure of information relating to child abuse, risk of serious harm to another person, an act of terrorism or serious crime, or miscarriage of justice

  • Legal obligation — if we are required to disclose information by a court of law or other legal process

Where possible, we will inform you of any such disclosure in advance and will share only the information that is strictly relevant. Full details are set out in our Privacy Policy.

8. Information Sharing

There are instances where it may be necessary to share relevant clinical information with other healthcare professionals or involved parties to ensure the best possible care. Your preferences regarding information sharing are recorded at registration. If you wish to amend your preferences at any time, please inform your therapist in writin

9. Termination of Services

You may discontinue therapy or services at any time. You remain responsible for payment of any services provided up to the date of termination, and for any applicable cancellation charges under Section 5.

Regal reserves the right to terminate services where:

  • Fees remain unpaid after reasonable attempts to resolve the matter

  • There is a breakdown in the therapeutic relationship that cannot be resolved

  • The service is no longer clinically appropriate

  • There is behaviour that poses a risk to staff or others

Where Regal initiates termination, we will provide a minimum of two weeks' written notice wherever clinically and practically possible, along with appropriate onward signposting or referral. In cases involving risk to staff or others, services may be terminated with immediate effect.

10. Emergencies

Regal does not provide emergency or out-of-hours services. Communication channels are monitored during standard business hours only and must not be used for urgent or emergency contact

11. Online Sessions

Where services are provided remotely, you are responsible for:

  • Ensuring a private and appropriate environment for your session

  • Having adequate technology and a stable internet connection

While we take reasonable steps to ensure the security of online sessions, no platform can be guaranteed as completely secure. By engaging in remote sessions, you acknowledge and accept this.

12. Children and Young People

Where services are provided to individuals under the age of 18:

  • Consent must be provided by a parent or legal guardian where required by law or professional guidance

  • Confidentiality will be managed in line with professional guidelines and the young person's best interests

  • Certain information may be shared with parents or guardians where clinically appropriate or required for safeguarding purposes

The parent or legal guardian providing consent confirms they have the legal authority to do so on the young person's behalf.

13. Records and Subject Access

Clinical records are retained in accordance with professional, legal, and regulatory requirements — typically for 7 years from the end of treatment in line with HCPC and BPS guidance.

You have the right to access the personal data we hold about you at any time by making a Subject Access Request. Full details of how to do so, along with your other data rights, are set out in our Privacy Policy.

14. Professional Standards

All clinicians at Regal adhere to the ethical and professional standards set by their respective regulatory bodies, including:

  • Health and Care Professions Council (HCPC)

  • British Psychological Society (BPS)

15. Complaints

If you are dissatisfied with any aspect of our service, please raise your concerns with us in writing in the first instance. We will acknowledge your complaint within 5 working days and aim to provide a full response within 28 days.

If your complaint cannot be resolved directly, you may escalate to the relevant regulatory body:

16. Limitation of Liability

To the fullest extent permitted by law, Regal Private Therapy Practice shall not be liable for any indirect, incidental, or consequential loss arising from the use of its services.

Nothing in these Terms and Conditions excludes or limits liability for:

  • Death or personal injury caused by negligence

  • Fraud or fraudulent misrepresentation

  • Any other liability that cannot be excluded or limited by law, including your statutory rights under the Consumer Rights Act 2015

17. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

18. Changes to These Terms

We may update these Terms and Conditions from time to time. Where changes are material, we will provide you with reasonable written notice before they take effect. Continued engagement with our services following notice of changes constitutes acceptance of the updated Terms.

19. Acceptance

By engaging our services, you confirm that you have read, understood, and agree to these Terms and Conditions and the Regal Private Therapy Practice Privacy Policy.
